Modern Slavery and Human Trafficking Statement

 

1. Introduction

Citipost Ltd trading as Citipost Mail (“Citipost Mail”, “we”, “our”, “us”) recognises that modern slavery and human trafficking are serious crimes and gross violations of fundamental human rights. We are committed to taking all reasonable steps to prevent modern slavery and human trafficking from occurring in our own operations and in our supply chains.

This statement is made pursuant to Section 54(1) of the Modern Slavery Act 2015 and sets out the actions we have taken, and continue to take, to understand, mitigate, and address the risks of modern slavery and human trafficking for the year ending 31st December 2026.

2. Our business and structure

Citipost Mail is a leading expert in direct marketing, helping businesses communicate with their customers and prospects in ways that reflect their brand and drive measurable customer behaviour. We support clients from initial concepts through to final message delivery.

Our core services include Creative, Data, Print, Mail and Media, and we work with a diverse range of clients. As of 1st January 2026, we employ 57 direct employees, based in the UK, across office-based and remote working roles.

3. Our supply chains

Our carefully managed supply chain network is critical to the quality and reliability of our services. Our supply chain includes;

  • Print and production partners
  • Mailing and logistics providers
  • Data and technology providers
  • Professional and facilities services

All of our key suppliers are ISO certified (for example, ISO9001, ISO14001 and ISO27001) or are working towards equivalent standards, providing a structured framework for quality, environmental management and information security. We require all suppliers to complete a Supplier Approval Form before working with us, enabling us to assess their suitability, including alignment with our ethical standards and relevant legislation.

We conduct periodic reviews of key supplier’s compliance documentation, relevant policies and certification status.

While our supply chains are primarily UK-based and generally not associated with high risks of modern slavery, we recognise that risks can exist in any supply-chain, including indirect or sub-tier suppliers. We therefore continue to strengthen our approach to supplier due diligence and ongoing monitoring.

4. Our commitment and policies

We are committed to the principles of the Modern Slavery Act 2015 and to the abolition of modern slavery and human trafficking in all their forms. Our recruitment and people management processes are designed to ensure that all prospective employees have the legal right to work in the UK and are engaged on fair terms and conditions. We do not enter into business with any organisation which we know, or reasonably suspect, to be involved in slavery, forced or compulsory labour, or human trafficking.

The following policies support our approach to preventing modern slavery and are available to all employees:

These policies set expectations for behaviour, promote equality and inclusion, encourage reporting of concerns, and help us respond promptly and appropriately if issues are identified.

5. Governance, responsibility and risk management

Responsibility for overseeing our approach to modern slavery and human trafficking rests with our Board of Directors. Day-to-day responsibility for implementing and embedding relevant controls sits with the Senior Management Team and the Human Resources department.

Where potential risks are identified, we will consider the most appropriate response, which may include seeking additional information, working with the supplier to improve standards, or, where necessary, reconsidering the relationship.

6. Due diligence in our supply chain

To manage and reduce the risk of modern slavery within our supply chain, we:

  • Require suppliers to complete a Supplier Approval Form before engagement, including confirmation that they comply with relevant employment and human rights legislation and do not tolerate forced or trafficked labour.
  • Prefer suppliers that hold relevant ISO certifications or equivalent recognised standards, giving us additional assurance about their management systems and governance.
  • Maintain clear contractual expectations, including compliance with all applicable laws and regulations, and we reserve the right to review or terminate relationships where serious non-compliance is identified.
  • We conduct periodic reviews of key supplier’s compliance documentation, relevant policies and certification status.

7. Our people, recruitment and training

Our people are central to our ability to identify and address modern slavery risks. We will continue to embed the principles of the Modern Slavery Act 2015 through:

Our People

  • Raising awareness of modern slavery and human trafficking so employees understand what it is, how to identify warning signs, and how to report concerns.
  • Maintaining a culture where ethical conduct is expected and supported, and where concerns can be raised without fear of victimisation.

We are a member of Stronger Together, a multi-stakeholder initiative that supports organisations to tackle modern slavery and hidden labour exploitation. This programme helps raise awareness of issues such as forced labour, exploitative practices by labour providers and human trafficking, and provides practical guidance and tools.

Our recruitment

  • Conducting robust vetting and screening checks on all new employees to confirm their identity and legal right to work in the UK.
  • Ensuring that all employees are engaged on written terms and conditions that are fair, transparent and compliant with UK employment law.
  • We plan to enhance training for managers and staff in higher-risk roles (those involved in supplier selection and management) to ensure they can spot potential concerns and know how to escalate them.

8. Reporting concerns and remediation

We encourage anyone working for or with Citipost Mail who has concerns about possible modern slavery or human trafficking to raise these concerns at the earliest opportunity.

Employees are encouraged to raise issues with their line manager, HR department, or through our Whistleblowing Policy, which allows concerns to be raised confidentially.

Where concerns relate to suppliers or third parties, these will be investigated and, appropriate action will be taken.

If a case of modern slavery were to be identified in our operations or supply chain, our priority would be the safety and wellbeing of the affected individual(s). We would seek to work with relevant authorities, expert organisations and, where appropriate, the supplier involved to ensure appropriate remediation and to address root causes so that issues do not recur.

9. Effectiveness and future plans

We recognise that tackling modern slavery is an ongoing process of improvement. Over the coming years, we aim to:

  • Further integrate modern slavery considerations into our supplier risk assessment and management processes.
  • Enhance training and awareness for employees and key suppliers.
  • Review our policies and procedures annually to ensure they remain effective and aligned with evolving good practice and legal requirements.

We will continue to monitor the effectiveness of our approach through indicators such as completion of supplier due diligence, training coverage, and any concerns raised via our reporting channels.
